Analysis of information architecture

KrikEM is a comprehensive event management application designed to streamline event organization and email campaigns. It caters to businesses across various sectors, offering functionalities like event registration, email notifications, and contact management. The application aims to provide a unified platform that simplifies event management while supporting targeted email campaigns.

New feature

The accreditation feature is a new addition developed for KrikEM, an event management application. This feature aims to streamline the process of managing event attendees and their access permissions. It allows for the creation of different events with email management, each with its own user base, name tag design, and mobility zone information, while storing data in a centralized database.

Design objectives

The primary design objectives for the accreditation feature were to build upon the already established app to provide solutions for requests from recurring clients. The system needed to provide a user-friendly interface for administrators to manage events, attendees, and their access permissions efficiently.

User Interface: The feature needs a clean and intuitive interface that allows administrators to easily manage user roles and access permissions. It includes three levels of user access: Superadmin, Admin, and User.
Customizable Accreditations: Accreditations should be customized with attendee-specific details such as name, photo, role, and category. This personalization enhances the attendee experience and provides a professional touch.
Registration Process: A web form allows single users to register without needing a login, making it easier for them to sign up for events. Administrators can also add attendees before an event becomes active.

Admin POV

From the very beginning of new feature development, the logic involved pairing categories and subcategories of event participants with their access to different event zones. First, the admin creates a category and adds custom subcategories (categories can be reused in different events). Second, the admin creates an event with the required info and adds mobility zones that are designated for specific event spaces. While adding mobility zones, the admin can select categories and subcategories that are allowed in that specific zone.

Contacts (registrations) are added to the event from an existing database, or a custom email is sent so new participants can register. Next, the admin can track the registration process, send email reminders and information to the participants through the event dashboard. Once the registration period is closed, the admin can create custom name tags depending on the event requirements. Email campaigns are available during and after the event has passed.

Participant POV

If a participant is already in the database, the admin can add them to the event directly. Otherwise, an email is sent to the participants individually or to the person ‘in charge’ (e.g., team leaders) so they can register. The email provides a form to upload all contacts from a document like Excel or add them by hand. Mapping data allows team leaders to connect attributes to the data provided, such as name, surname, email, gender, etc. Users can also add profile pictures if needed. Once all the data is uploaded, the overview is available.

Testing, testing,one, two, three

During the testing phase of the new accreditation feature, the focus was on validating its design and ensuring that it met the desired user experience standards. Initially, manual testing was conducted to verify that all design elements functioned as expected, including the user interface for managing categories and subcategories, customizable accreditations, and the registration process. This involved simulating various user scenarios to ensure that the feature was intuitive and easy to use for administrators and attendees alike. The testing process revealed a few minor issues related to layout responsiveness and visual consistency across different devices, which were promptly addressed through targeted design adjustments.

Conclusion and next steps

The integration of the new accreditation feature into KrikEM has successfully enhanced its event management capabilities by providing a streamlined process for managing event attendees and their access permissions. The feature's design focuses on user experience and operational efficiency, offering a user-friendly interface for administrators to manage categories, subcategories, and access zones for each event. The customizable accreditations and efficient registration process further personalize the attendee experience, making it more professional and organized.The feature will be further iteratively tested and improved depending on client needs. This development sparked further talks about adding different features to the existing app.
